The World Health Organization (WHO), Nepal invites applications from Nepalese citizens for the position of Administrative and Programme Assistant.

Under overall guidance of Team Lead IPD, and direct supervision of the Admin Cluster Lead , incumbent will perform the following duties with a view to achieve the expected results set out in the relevance of Programme for Immunization Preventable Disease (IPD).

He/she will be responsible for:

  1. Draft routine correspondence, facsimile messages, memoranda, administrative data tables and reports from oral instructions, previous correspondence or other available information sources in accordance with standard WHO office procedures relating to the programme and other WHO activities as necessary;
  2. Establish and maintain appropriate filing system according to the subject matters;
  3. Prepare graphic presentations as required for meetings and presentations to help inform administrative and financial decision making and dissemination of guidelines and norms;
  4. Assist Administrative and Programme Associate to manage assets including IPD fleet of vehicles;
  5. Maintain staff attendance and update staff leave records in Leave database.
  6. Provide logistics and administrative support to meetings and workshops as per WHO protocols, including preparation and dispatch of invitations, explore venue, call out quotations, and assist in preparation of meeting materials, handouts. In addition, upload necessary documents in GSM as required and process in GSM.
  7. Assist IPD Admin Cluster Lead, to make necessary bookings and issue air tickets for IPD staff and check the air bills for their correctness before processing to Finance for payment;
  8. Make arrangements for visa, travel, accommodation, Security clearance, etc. for participants from another country.
  9. Ensure coordination between WHO IPD and the Child Health Division/EPI Section, on administrative matters through exchange of information and necessary follow-up with EPI/CHD staff to obtain urgent responses for communication with WRO, SEARO, and HQ;
  10. Support Administrative & Programme Associate to facilitate the government counterparts to participate in WHO supported training/meetings outside the country by raising Travel Request in GSM, booking tickets and follow-up on their per-diem with WCO.
  11. Perform other duties as required and assigned by the supervisor.

General Requirements:

Educational Qualifications:

Essential: Completion of higher secondary school education or equivalent.

Desirable: Additional qualifications in administration, office processes, knowledge on vehicle spare parts and allied subjects would be an asset.

Work Experience:

Essential: Two years’ experience in secretarial, clerical or similar function

Desirable: Experience of working with an NGO or INGO would be an asset.

Competencies: 1. Teamwork 2. Communication 3. Respecting and promoting individual and cultural differences 4.Producing results, 5. Knowing and managing yourself

Language: Excellent knowledge of written and spoken English, and Nepali

Other Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), Internet essential.

The ideal candidate should be self-motivated and able to deliver results with minimal supervision. Absolute integrity and reliability for data responsibilities are essential. WHO has a zero tolerance policy towards any deviations in these areas.

Salary: Lump sum package of approximately NPR 80,000 per month (Taxable)
